Administrative Assistant (Part-Time)
We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our office operations, ensuring smooth day-to-day functioning and providing exceptional support to staff and clients alike. Your energetic approach and attention to detail will help foster an efficient, welcoming environment. Job Type: Part-time
Pay: $24.00 per hour
Expected hours: 20 – 24 per week (with potential for additional hours during peak seasons)

Location: Remote (anywhere in B.C.), with preference given to candidates on South Vancouver Island who are able to work part-time from our Victoria office.
Start date: February 2, 2026
DUTIES

Manage day-to-day communications by email and phone, ensuring all inquiries are responded to within two business days.

Oversee participant registration: maintain databases and spreadsheets, process online payments, and liaise with parents, sponsors, and participants.

Track and organize expense forms, receipts, and financial data using tools such as QuickBooks Online and spreadsheets.

Support planning and logistics for staff and volunteer training sessions.

Coordinate camp logistics, including creating cabin, participant, and transport lists, managing inventories, and preparing sponsor thank-you materials.

Manage all staffing and volunteer paperwork, including contracts and criminal record checks.

Arrange travel bookings for staff and participants (ferries, group transport, etc.).

Provide administrative support for board communications, reports, and event planning.

Help foster supportive, inclusive communities that empower youth to challenge themselves and create positive change.

Maintain organizational compliance and privacy standards, ensuring all program procedures and participant information are managed ethically and securely.
SKILLS

Proficiency in Microsoft Office Suite and Google Workspace applications.

Experience with registration or database management is an asset.

Strong organizational skills with the ability to prioritize tasks effectively.

Demonstrated experience in office management or administrative roles with clerical experience preferred.

Knowledge of office management procedures, including filing, proofreading, and calendar management

Familiarity with multi-line phone systems, phone etiquette, and customer support best practices.

Strong time management skills with the ability to handle multiple priorities efficiently.

Basic bookkeeping skills, including familiarity with QuickBooks or similar bookkeeping software, are preferred.

Experience with youth programs or non-profit administration is an asset
